Unified Communication & Collaboration
Hundreds of teams with no owners and no expiry dates, guest access nobody reviews, and a PBX contract renewing quietly in the background. Synapx sets up Microsoft Teams so IT stays in control of collaboration and telephony without taking away the self-service users like.
Collaboration · Telephony · Governance
The trigger is usually one of two discoveries: an audit that surfaces hundreds of ungoverned teams, most of them ownerless and half of them dormant, or a PBX renewal quote that makes someone ask why telephony is still a separate system. Both conversations land on this page, because both have the same answer: Teams run deliberately, with governance IT controls and telephony users prefer. Most organisations start from a licence they barely use; chat and meetings run daily while enterprise voice, governed collaboration spaces and frontline tooling sit paid-for and unopened.
Telephony is often the biggest prize. Teams Phone replaces ageing PBX estates with call queues, auto attendants, number porting and compliant recording, folding the phone system into the client people already live in and retiring a separate contract in the process. The comparison below is the conversation we have with every organisation still paying for on-premises telephony.
Governance decides whether Teams stays useful at scale. Provisioning with purpose, naming standards, ownership requirements, expiry for dormant teams and sensitivity labels keep the estate navigable without taking self-service away from users. Retrofitting governance onto sprawl is harder than starting with it, and we do both regularly.
And because Teams is where your people already are, it is also where AI lands most naturally: Copilot in meetings and chat, and agents deployed into the channels where work actually happens. Governance here is what makes that safe, and when you want the rollout itself, our Microsoft Copilot practice owns that conversation.

Telephony Choice
Most PBX estates survive on inertia and a support contract that renews quietly each year. When the comparison finally gets made in the open, it rarely goes the way of the PBX, but it deserves to be made honestly.
| Criteria | Teams Phone | Legacy PBX |
|---|---|---|
| Where calls live | In the client people already use for chat and meetings | A separate handset, app or desk phone |
| Cost shape | Per-user licensing on your Microsoft agreement | Hardware, maintenance contracts and per-line charges |
| Features | Call queues, auto attendants, voicemail transcription, compliant recording | Depends on the model year and the maintenance tier |
| Working anywhere | The number follows the person to any device | Call forwarding and workarounds |
| Administration | One admin centre alongside the rest of Microsoft 365 | A specialist skillset that is quietly retiring |
If your PBX contract has a renewal date, put a Teams Phone assessment before it. Number porting, call-flow design and user adoption are well-trodden ground for us, and most rollouts complete within weeks. The honest exceptions are complex contact-centre requirements, where we scope certified integrations rather than pretend the base product covers everything.
For most organisations, yes. Teams Phone supports PSTN calling via Calling Plans, Operator Connect or Direct Routing, plus call queues, auto-attendants and analytics. We run a structured voice assessment before recommending an approach.
A typical Teams Phone deployment for a mid-sized organisation takes 8–14 weeks including voice design, number porting, pilot and full rollout. Larger multi-country rollouts usually run 4–8 months.
We implement naming conventions, provisioning templates, guest access controls, sensitivity labels, expiry policies and periodic access reviews, typically via the Teams admin centre, Entra ID governance and custom automation.
Yes. We deliver Teams apps using the Microsoft 365 Agents SDK (formerly Teams Toolkit), Power Apps, Power Virtual Agents and Copilot Studio, depending on the use case and existing skill base.
Yes. We configure Teams for frontline use with Shifts, Walkie Talkie, Tasks and Approvals, plus appropriate F-series licensing, shared device mode and simplified app layouts on mobile.
