The Challenge
The current system for data collection relies on multiple form submission sources, including OCT Subscribers, the Blue Meadows Bulletin, and Schools Mailing. However, this approach presents challenges due to the lack of a centralised system for data ingestion. As a result, there are manual processes in place that not only lead to inefficiencies but also increase the risk of data inconsistency. To improve the situation, it is crucial to focus on capturing only essential personal details while excluding non-essential fields, streamlining the data collection process and enhancing overall accuracy.

Our Solution
Synapx developed a centralised integration system for three Typeform-based mailing lists, automating the process of collecting data and updating the database. This system captured key personal details such as First Name, Last Name, Email, Postal Code, and Email Consent. For the school’s mailing list, we also included multiple-choice responses to enrich data collection. To make this process seamless and efficient, we used Microsoft Power Automate. Power Automate allowed us to create automated workflows that connected Typeform with the database, eliminating manual data entry and reducing errors. Instead of someone downloading responses and updating records by hand, the system now updates automatically in real time. This not only saved time but ensured accuracy and consistency across all mailing lists. The project was delivered in just 4.5 days by a lean team consisting of a Data Engineer, a Power Platform Tester, and a Project Manager. The implementation was highly cost-effective, achieving a savings of 34% compared to traditional approaches.

This approach has reduced manual effort and improved data accuracy, ensuring that information is reliable and easily accessible. Additionally, the solution is designed to be scalable, allowing for easy adaptation to future mailing lists as needs grow.
